Learning Group Admin Quick Start Guide

Below is a comprehensive guide on the functionality of a learning group admin.

Getting Started: The Admin Dashboard

The Admin Dashboard serves as your mission control for managing learning groups and monitoring performance.

  • Learning Group Management: From the home screen, view all assigned learning groups. Clicking into a specific group reveals detailed performance metrics and management tools tailored to that cohort.

  • Performance Metrics: Get a high-level view of your current semester’s progress. Progress is calculated relative to the assigned deadline, allowing you to compare individual user progress and ensure the team is staying on track.

Learning Group Overview & Controls

Once a learning group is selected, you can access several key data panels designed for immediate insight:

  • Mandatory Courses Completed: Tracks the total number of courses finished by the group against the total number of mandatory courses assigned.

  • Exam Pass Rate: Monitors the overall success rate for the group’s exam attempts.

  • Semesters Completed: Displays the total count of semesters successfully completed by the group.

  • Semester Content: View the specific curriculum assigned to the group. Use this section to edit or modify assigned content to better fit your team's needs.

  • Learner Progress Breakdown: Categorizes users by their current standing: Completed, Ahead of Schedule, On Schedule, Behind Schedule, Not Started, Invitation Pending, Active, and Inactive. Use CTAs like Learner Check-Ins to communicate to learners directly

Semester Overview & Analytics

The Semester Overview page provides a deep dive into your assigned training programs and impact data.

  • Semester Selection & Editing: Use the semester tabs to toggle between existing semesters. The Edit Semester tool allows for quick modifications to subjects, software versions, specific modules, deadlines, and additional semester settings.

  • Impact Analytics: This section visualizes the ROI of your training by showcasing learner growth.

  • Skill Levels Over Time: View a breakdown of learners categorized as Strong, Needs Improvement, or Weak. Toggle between Initial and Current skill levels to visualize the "Skills Gained" through training.

  • Activity Trends: The Total Learning Time graph highlights periods of peak activity, helping you identify engagement patterns and the best times to launch new initiatives.

  • Pass Rates by Course: Provides a granular view of which specific courses are being mastered and where learners might be struggling.

Managing Individual Learners

The Leaderboard table provides granular control and transparency for every user within the semester.

  • Learner Details: Access names, email addresses, and account statuses with advanced filtering options to find specific individuals quickly.

  • Progress Tracking: The leaderboard offers a quick visual overview of learner progress. It includes sorting options and key Calls to Action (CTAs) for sending check-ins or downloading specific data points.

  • Quick Actions: Send "Check-In" messages directly to learners to provide a nudge or encouragement.

    • Filtering: Narrow your view by status (e.g., Invitation Pending, Behind Schedule or Not Started) to prioritize outreach.

    • Reporting: Use the download icon to export a full CSV report of the group’s data for internal presentations or deeper analysis.

Best Practices for Admins

  • Monitor Progress Proactively: Regularly review the progress bars and learner statuses. If you notice a cohort of users is lagging, use the Quick Actions tool to send a mass "Check-In" reminder to get them back on track.

  • Analyze Skill Growth: Use the Skills Gained by Subject chart to identify if specific tools (like Power BI or Excel) remain a "Weak" area for the group. This insight helps you decide if your team needs supplemental training or a deadline extension for those specific topics.

  • Align Software Versions: When configuring your semester, ensure the Subject Version matches the software your team uses daily (e.g., Excel 365 vs. Excel 2019). This ensures the skills learned are immediately applicable to their workflows.

  • Utilize Data Exports: Regularly Download Reports in CSV format. These provide the most granular data for further internal analysis, stakeholder reporting, or integration with your own HR management systems.
