How to Build Personalised Semesters for Learners
This guide walks administrators through creating a personalised learning semester in Kubicle using the new semester builder. You’ll learn how to select or create a semester, set schedules, choose learning content, configure completion rules, and publish the semester to learners.
Overview: The Semester Builder
Creating a semester follows a simple, guided, five-step flow:
- Select Template
- Set Schedule
- Select Learning Content
- Semester Settings
- Review & Save
You can move back and forth between steps at any time before saving.
Step 1: Select a Semester Template
From your Learning Group, click Create New Semester.
You’ll be taken to the Select a Semester screen, where you can:
- Choose from Kubicle’s curated semesters
- Select a previously created custom semester
- Create a brand-new semester from scratch
Filtering and Searching
Use filters on the left-hand side to narrow results by:
- Subject
- Duration
- Difficulty level (Beginner, Intermediate, Advanced)
- Creator (Kubicle or your organisation)
To build a fully bespoke programme, select Create New Semester.
Step 2: Set the Schedule
Next, define the timeframe for your semester.
You can:
- Set a Start Date
- Set an End Date
- Or choose Don’t assign an end date for open-ended learning
The Semester Summary panel on the right updates automatically and shows:
- Start and end dates
- Duration in weeks
These dates are used to automatically generate milestone due dates later.
Step 3: Select Learning Content
In this step, you build the learning journey by organising content into milestones.
Adding Courses to Milestones
Each milestone contains one or more courses. You can:
- Add courses from Kubicle’s library
- Remove courses you don’t need
- Reorder courses within a milestone
Kubicle automatically displays:
- Course duration
- Total learning time per milestone
Editing Milestones
For each milestone, you can:
- Rename the milestone
- Adjust its due date
- Add or remove courses
Adding New Milestones
Click Add New Milestone to create additional stages in the semester.
Milestone due dates are initially calculated based on your semester timeline, but they can be manually adjusted at any time.
Step 4: Semester Settings
This step controls how learners experience the semester and how completion is handled.
Semester Name and Description
- Semester Name appears on learner dashboards and diplomas
- Semester Description gives learners context on what they’ll learn
You can also use Generate AI Description to automatically draft a description.
General Settings
You can choose to:
- Award a diploma upon semester completion
- Prevent learners from starting new milestones until the previous one is completed
These settings help structure learning and enforce progression.
Project Completion Rules
Set whether projects within the semester are:
- Mandatory for all learners, or
- Optional for all learners
Course Completion Rules
Choose which skill levels must complete courses:
- Weak, Needs Improvement & Strong
- Weak & Needs Improvement
- Weak only
- Course completion optional for all skill levels
This works in combination with Skill Checks, allowing learning to adapt based on learner proficiency.
Advanced Settings
Under Advanced Settings, you can:
- Save the semester as a template for future use
- Make the semester available to all administrators in your organisation
Step 5: Review & Save
Before publishing, you’ll see a full Semester Summary, including:
- Total duration and learning time
- Weekly pacing
- CPD/CPE credits
- Milestones, courses, and due dates
Review everything carefully. When you’re ready:
- Click Save to publish the semester to the learning group
Learners will immediately see the semester in My Semesters.
After Publishing: Managing Your Semester
Once live, you can:
- Edit the semester at any time
- Track learner progress and completion
- View insights such as time remaining and exam pass rates
Changes made after publishing will update learner views automatically.

- Keep milestones short and focused
- Balance workload using pacing indicators
- Use Skill Checks to avoid over-training experienced learners
- Clearly describe learning outcomes in the semester description
